# Change the timer

To adjust the duration of your activity, set the timer in minutes and seconds. The timer must not exceed 60 minutes or be less than 30 secondes.

{% hint style="info" %}
The timer will be adjusted if the time limit is reached.
{% endhint %}

# Set the idea types

You can rename the type and set as many types as you need for your activity. Then, you can:

* Change the name of the type.
* Select a color (for the sticky note):
 * `Gray`.
 * `Red`.
 * `Orange`.

 * `Blue`.
 * `Violet`.
 * `Pink`.
 * `Light gray`.
* Change the description.

You can also reorder the types by dragging and dropping rows as needed.

{% hint style="info" %}
An activity must have at least one type.
{% endhint %}

# Add a template

You can add a template from a `Section` of a `FigJam` board. This template could be reused in several documents and published. The purpose is to give your activity a structured way to sort ideas from your participants after a session.

You have to click a `Section` on the board, then click on `Add template` to save the Section, followed by its children as a template.

Be aware some `FigJam` elements are not totally supported. Here is a whitelist:

* `Section`.
* `Group`.
* `Shapes`:
 * No text
* `Texts`:
 * No hyperlink.
 * No mixed style.
* `Components`:
 * Stickers.
 * Components.

# Explore activities

You can go to `Explore`, to retrieve a list of shared activities provided by `Ideas Spark Booth` Users. These activities keep a link to their `Master` and can be synchronized if the user publishes a new version. You must click `Synchronize activity` to check the status.

From the list, you can:

* `Duplicate to local`: An activity instance is pushed to the document. It can be updated but cannot be republished later.
* `Search activities…`: Quickly go to a specific activity or a group of activities.

{% hint style="info" %}
Please note that the activities you duplicate are session- and idea-free. Indeed, only the activity settings can be published (global, timer, types).
{% endhint %}

# Import/Export an activity

{% embed url="<https://screen.studio/share/eAAmfyma>" fullWidth="true" %}

An activity is composed of:

* Configuration data.
* `History sessions` data.
* Ideas related to the `History sessions`.

{% hint style="info" %}
The activities are encapsulated in the file and must be exported and then imported to another document. This is not ideal, but it allows you to use the activities you have facilitated on a `FigJam` board on a `Slides` document.

# Import an activity

Go the the `Activities`, then `Local`, and click on the `Import` button (on the left of the `Plus` button). A modal will appear where you can:

* Drop the activities files from your explorer.
* Open your Explorer window and select the activities.

After a while, the activities will be added to the list of local activities.

# Prepare the session

As a facilitator, you must provide the best context for your participants. Whatever the editor you are, you can add an overview of the activity directly on the `FigJam` board and the `Slides` document:

* On `FigJam`, you can go to the activity Settings, then click the Ellipses button and click `Add template to board`. This way, the global information and the saved template will be added to the board from your current point of view.
* On `Slides`, you can go to the activity Settings, then click the Ellipses button and click `Add overview to slides`. This way, the global information split into slides will be added to the slides just after the last one.

# Start a session

When starting a session from a defined activity, you and the persons who have already opened the `Ideas Spark Booth` can move to a specific context to participate and type ideas. Everyone will be notified of who has started the new session.

{% hint style="info" %}
When starting a new session, your role is automatically set to `Facilitator`.
{% endhint %}

To start a session, you can:

* Click the `Play` button of the related activity on the `Activity`, then the `Local` section.
* Open the related activity settings (by clicking the `Settings` button), then click `New Session`.

{% hint style="info" %}
After starting a session, the timer of the `FigJam` board activates automatically based on the activity's timer configuration.
{% endhint %}

# Monitor the session activity

During the session, your role allows you to watch:

* The number of ideas sorted by idea type.
* The list of participants who have joined the session (by running the `Ideas Spark Booth`).
 * You are spotted with the tag `You`.
 * Participants who finished typing their ideas are flagged as `Finished`.

{% hint style="info" %}
The session is updated in real-time, giving you an idea of the current flow.
{% endhint %}

# End the session

When you think the session must end (time is up or participants have finished typing), click the `End session` button, then confirm the end.

Once ended, the ideas are sorted according to the `Group by` selection:

* On `FigJam`, the ideas are encapsulated in `Sections` named like the type they refer to or the participant's name. These sections are nested in a section named after this model `Activity name・Session Start Date`.
* On `Slides`, the ideas are encapsulated in `Slides` named like the type they refer to or the participant's name. A session overview is generated before the ideas with:
 * The facilitator's name.
 * The list of the participants.
 * The session duration.
 * The ideas distribution.

# Participate in a session

{% embed url="<https://screen.studio/share/gaXKV8Ro>" fullWidth="true" %}

{% hint style="warning" %}
If the facilitator cannot end the session, you can click the `Ellipses` button and select the `End session` button to end the session on the facilitator's behalf.

# Learn from the context

When a facilitator starts a session, you can move to the active session and a specific context for typing your ideas. You can learn more about what the session expects from you by reading on the right bar:

* The `Facilitator` of the session
* The `Description` of the activity.
* The different `Types` you have with their description.

{% hint style="info" %}
Feel free to contact the facilitator if you lack information. You might use the `FigJam` board or `Slides` in-app microphone.
{% endhint %}

# Bulk type ideas

At the bottom, you have a section to type your ideas:

* Choose the type according to the defined ones.
* Type your idea without any character limit.
* You can add an idea by clicking the `Plus` button or pressing `Cmd ⌘ + ⏎` or `Ctrl ⌃ + ⏎`. However, this method does not work if the idea is empty.

{% hint style="info" %}
Once terminated, you can flag the facilitator you have finished.
{% endhint %}

# Update your ideas

After typing your ideas, they are stored on the left bar and sorted from the most recent to the oldest. If you want to update an idea, you can:

* Select another type.
* Change the idea text.
* Remove the idea by clicking the `Trash` button.

{% hint style="warning" %}
A removed idea cannot be retrieved.

1. Run the actions:
 * `Add to board` or `Add to slides`: Generate a classification of the ideas from the session directly on the document or the board.
 * Filter by types or participants.
 * Export the session to CSV.
 * Export the session to JSON to import it into another document.
 * Remove the session.
 * Sort the ideas.
2. Read each structured idea.

# Analyse a session

Go to an activity `Settings`, then scroll down to see the `Session history`. You can retrieve all the sessions that have been run, sorted from the most recent to the oldest ones.

Click a session.

In a session, every idea created by the participants is sorted by default from the most recent to the oldest. The ideas are structured as a table with the type, the text, and the participant.

You can modify the way the ideas are displayed by:

* Changing the sorting:
 * `Most recent`.
 * `Oldest`.
* Filtering by:
 * `Types`.
 * `Participants`.

Also, you can add the session ideas to the document the same way you did after ending a session:

* On a `FigJam` board, click `Add to board`.
* On a `Slides` document, click `Add to slides`.

Finally, you can:

* Export the session:
 * As a `CSV`, the ideas can be imported into a different tool like `Microsoft Excel` or `Google Sheets`.
 * As a `JSON`, import it to another `FigJam`/`Slides` document.
* Delete a session (the action is irreversible)

# Add a report

{% hint style="info" %}
This action is only available on a `Slides` document.
{% endhint %}

Go to an activity `Settings`, then click the `Ellipses` button and click `Add report to slides`.

This way, the activity overview and every session related to the activity will be added to the slides after the last slide.

# Manage the activity lifecycle

{% hint style="info" %}
An account is required to publish activities.
{% endhint %}

With our tool, you can publish any activity remotely for reuse across multiple documents. This feature enhances sharing, allowing you to inspire others. The concept is similar to Figma components: the remote activity serves as the source of truth, or `Master`, while the activity across the document is the `Instance`.

***

Go to an activity Settings, then `Publish activity`. A dialog shows you the activity's status on the remote and a couple of brief information:

* Its name.
* Its status.
* Its types and timer.
* Eventually, the provider if it is already published.

About the status, it indicates at a glance the action to do to manage the activity lifecycle:

* `No changes`: It is up-to-date.
* `Local changes`: The activity has been managed on the document.
* `Remote changes`: A new version has been published, and the local version can be updated.
* `Unpublished`: It can be published remotely.
* `Not found`: The remote master may be unpublished.
* `Waiting…`: The communication with the remote Master is ongoing, but it can result in an error.

# Publish and Synchronize activities

There are two types of remote activities: yours and the community. You cannot manage the lifecycle in the same way.

# Reuse activities across multiple documents

# Reuse the activities for your own usage

You can go to `Activity` then `Your activity`. This list gathers all the live activities you have published. From this list, you can:

* `Unpublish`: Remove the Master activity from the remote. This action is irreversible.
* `Share with the community` or `Remove from the community`: You allow other users to add your activity to their files.
* `Duplicate to local`: An activity instance is pushed to the document. It can be updated and republished later.
* `Search activities…`: Quickly go to an activity that is precisely known.

# Hunt the shared activities from the community

You can go to `Explore`, to retrieve a list of shared activities provided by `Ideas Spark Booth` Users. These activities keep a link to their `Master` and can be synchronized if the user publishes a new version. You must click `Synchronize activity` to check the status.

From the list, you can:

* `Duplicate to local`: An activity instance is pushed to the document. It can be updated but cannot be republished later.
* `Search activities…`: Quickly go to a specific activity or a group of activities.
